When to follow up

For many home-service jobs, a simple follow-up within two to five days is reasonable. The message should be short, helpful, and easy to answer. Avoid guilt, pressure, and fake scarcity.

If the quote has a real timing issue, such as material availability or a booking window, say that plainly. If not, keep it simple.

Template 1: simple check-in

Hi [Name], just checking in on the quote for [job]. I'm happy to answer questions or adjust the scope if needed. If you'd like to go ahead, reply here and I'll lock in the next available spot.

Template 2: clarify the next step

Hi [Name], following up on the [job] quote. The next step is simply [reply approval/pay deposit/book time]. Once that is done, I can confirm the schedule.

Template 3: helpful scope adjustment

Hi [Name], checking in on the quote for [job]. If the current scope is more than you wanted to do right now, I can suggest a smaller first stage or a good-better-best option.

Template 4: schedule availability

Follow-up mistakes to avoid

  • Do not make fake urgency claims.
  • Do not apologize for following up when the customer requested the quote.
  • Do not overload the message with every detail from the estimate.
  • Do not change price or scope unless you are intentionally revising the quote.
  • Do not keep messaging forever if the customer clearly is not interested.

Make follow-up repeatable

Save three versions: one after two days, one after a week, and one final follow-up. That gives you a repeatable process without needing to rewrite the message every time.
